Two free steps before anything costs you money

Most agencies in this space open with a deck and a number. We would rather build a small working version on your business, let you watch it run, and talk about money after you have seen it.

Here is the whole process, including the part where we start charging and the part where the plans stop being the same.

The process, end to end

  1. Step 1

    Strategy call

    Free · 30 minutes

    We work out what your phone does all day. Which calls come in, when they arrive, and which ones you are missing. You leave with a plan whether or not you hire us.

  2. Step 2

    Proof of concept

    Free · a few days

    We build a small working version on your actual business. Your call types, your booking flow, the questions your customers really ask. Not a demo of someone else’s system.

  3. Everything above this point costs nothing. The paid work starts at step 3.

    Scope and quote

    Fixed scope, agreed start date

    If the proof of concept earns it, we agree what the full build covers, what it costs, when it goes live and how it is paid for. All of it is settled together on the call rather than handed to you as a standard contract. No lock-in.

  4. Step 4

    Build and integrate

    Usually one to three weeks

    Connected to the calendar, CRM and phone system you already use, then tested against the calls you actually get rather than the ones a demo script expects.

  5. Step 5

    Go live and handover

    Your team trained on it

    Switched on, watched closely through the first days, and handed over with documentation. Your team knows how it works before it becomes their responsibility.

The five steps above are the same whichever way you work with us. What changes is what happens after it is live, and that is the part worth choosing deliberately.

The system is yours to run. If you would rather it was watched and kept working as the tools around it change, that is the Care plan, and it stays a choice rather than an assumption.

What this is not

A proof of concept is a small working automation, not a slide about one, and not a recording of somebody else’s system. It runs on your call types and your booking flow. It is deliberately narrow, because the point is to settle one question quickly: can this handle the calls you actually get.

It is also not a trial with a countdown on it. There is no card to enter and nothing starts billing at the end of a fortnight. If it does not fit your business, we say so and that is the end of it.

We can afford to work this way because the alternative is worse for both of us. A build sold on a promise and abandoned three months later costs us more than an hour spent finding out early.

How we work: common questions

How long does the whole thing take?

The first call is 30 minutes. A proof of concept usually takes a few days. Once scope is agreed, most builds are live within one to three weeks, depending on how many call types the agent has to cover and which calendar and CRM systems it connects to.

What do you need from us to start?

For the call, nothing. For a proof of concept, a rough sense of what people ring about. For the build itself, access to the calendar and CRM the agent has to work with, and the number you want calls to reach. We tell you what is needed before the work starts rather than partway through it.

What happens if the proof of concept does not work?

We shake hands and you have lost an hour. That is the point of building it first. Arguing about whether an AI can handle your phones is slow and neither of us can settle it in a meeting, so we settle it with a working version instead.

Do we have to take an ongoing plan?

No. A Project is a fixed-scope build, handed over with documentation and no ongoing fee. The Retainer and Care plan exist because some businesses want the system kept tuned and patched, not because a build is unfinished without one.

What happens after it goes live?

That depends on which plan you take, and it is the only part of the process that differs. A Project ends at handover. A Retainer keeps measuring, tuning and building the next automation each month. A Care plan keeps a live system monitored, patched and reported on.

Can you take over something another agency built?

Sometimes. A Care plan can start at the go-live stage without the first four, if the system is something we can reasonably support. We will tell you on the first call if it is not.

What does no lock-in actually mean?

Scope, price, timing and payment terms are all agreed before a build starts, so nothing runs open ended and nothing arrives as a surprise invoice. The specifics differ from one engagement to the next, which is what the scope call is for. If you want the exact terms for your build, ask on the first call and you will get a straight answer rather than a standard contract.
